Takeaway 1: Artificial Intelligence can provide substantial efficiency in event planning, note-taking, and details management. 

In the webinar, Hong Nguyen, the CEO and founder of Shiloh Events, discussed how her company uses AI to streamline their processes. “We leverage a lot of technologies like that are out there right now. So obviously, the project management technology. Right. Or even a ton of event tech like lasso, for example, that’s a great tech that can be leveraged to work more efficiently and be more consistent and just coordinated,” she explained. 

She also discussed how AI has revolutionized note-taking in meetings, reducing the time spent by event coordinators from one to two hours to just 30 to 45 minutes. “Now with AI, we’ll have Firefly join our meeting as a shadow attendance. Right. And then they take the notes word for word. They transcribe it so that all the coordinator has to do is just listen.”

Takeaway 2: AI can enhance attendees’ experience at an event by improving networking and understanding attendee behavior.

Nguyen discussed how AI can be used to improve attendees’ experiences during events. She explained how AI networking in mobile apps can make networking at large events more intentional and targeted. “AI networking on a, you know, just even a practical level, right. Like being able to give the attendees a much better networking experience by recommending attendees, other attendees, that they would better be able to. Better leverage than to just randomly walk up to somebody,” she said. 

Additionally, AI can be utilized to understand the behaviors of attendees and improve their experience at the event. Nguyen mentioned the technology company, Zenus, that analyzes facial expressions and behaviors to understand the attendees’ level of engagement and enjoyment. 

Takeaway 3: AI in event planning brings challenges along with its benefits.

Despite the benefits, Nguyen acknowledged that there are some challenges in using AI in event planning. She pointed out that while AI can improve accuracy, it can sometimes produce results that lack the human touch. “It’s just the human tone. It’s not there too, Angela, like, sometimes when I read, yeah, the things that are coming out, it’s like, that’s not me, you know? So there’s a little bit of adjustment. It’s not perfect. There still needs to be a little bit of, like, the application of you within that, you know. Yeah.”

Another challenge she highlighted is the need to review and adjust the information produced by AI. “You have to double check consistently. Like, for example, the work that you give to vet coordinators, you’re not just going to take their work and then, like, present it. Right. There’s some review sessions that you’re going to have to have with that coordinator, and then that coordinator would then have to make changes and they would need, like, a day or two to adjust their work. Same thing with AI. Like, you have to go back and review the information,” she explained.

Nguyen expressed her excitement about the future potential of using AI in event planning, particularly in the area of data analytics. She envisions a future where AI can process and interpret large amounts of data, such as hotel bills, to provide insightful reports for event planners.
